The export documents checklist
The papers almost every shipment needs, the ones that depend on your product, and who prepares each one.

Always needed
Commercial invoice — the price, Incoterm, HS codes and parties.
Packing list — what is in each package, with weights and dimensions.
Transport document — bill of lading (sea) or air waybill (air).
Export declaration — filed in the origin country, usually by your customs broker.
Often needed
Certificate of origin, or a preferential proof such as EUR.1 to claim lower duty under a trade agreement.
Product certificates — conformity, health, phytosanitary or safety certificates, depending on the product and destination.
Import registrations on the buyer's side, such as EORI in the EU or ACID/Nafeza in Egypt.
Tip
Keep the product description, HS code, quantities and values identical across every document. Mismatches are the most common reason shipments get held.
